About the Department The IR-4 Project is a national Federal/State partnership research program to assist farmers of fruits, vegetables, nuts, herbs, ornamentals, and other specialty crops by facilitating registration of safe and effective chemical and bio-based pest management products. The IR-4 Project is needed because the crop protection industry focuses their research efforts on major crops such as corn, soybean, and cotton that provide the companies adequate return on their development investment. Without IR-4, farmers of specialty crops would only have access to a few crop protection products to protect their crops. IR-4 Project Headquarters provides national leadership, coordination and regulatory compliance for the IR-4 Project research activities performed by approx. 125 scientists at over 20 public sector research farms and five analytical laboratories throughout the United States.
Essential Job Duties Reporting to the IR-4 Project National Chief of Staff, the IR-4 Project Business Operations Associate will be an integral part of the team that provides comprehensive business and operational support to the IR-4 Headquarters at NC State University. This position is primarily charged with providing business, financial, event, and other operational support to the diverse IR-4 Headquarters team and NC State. In addition, this position will at times interface with, and aid in troubleshooting business issues with, IR-4 scientists and staff across the US, and abroad.

Key activities include:

  • Business and Financial Management (45%): This position will be responsible for serving as an internal resource and support by providing general business and fiscal support to members of the IR-4 Project unit including, but not limited to:
    • Independently develop reports with both written and data content, to present to the Project Management Committee and other audiences as needed.
    • Responsible for processing accounts receivables including gift donations.
    • Lead in assisting with processing transactions and providing training on travel and procurement (p-card) transactions to IR-4 team members.
    • Compile data for financial reporting.
    • Take leadership in meeting with IR-4 Team members and providing issue resolution support with internal NC State/CALS CBO systems, spanning accounts receivable, accounts payable, p-card, and travel. This includes researching polices that may apply to aid in issue resolution.
    • Prepare Process Purchase Orders, Inter Departmental Transactions/Sales, New Vendors, Vouchers, and other financial system actions.
  • Providing Meeting Support (45%): This position will provide overall operational support to the IR-4 Project team members including.
    • Provide leadership or assistance with, individually or as part of a team, events including registration, venue selection, run of show preparation, and catering ordering.
    • Lead in the processing if all accounts payable, travel, and p-card transactions associated with IR-4 Events.
    • Locate and secure meeting space on campus and adjacent as needed.
    • Assist with setting up and troubleshooting meeting technology (in conjunction with IT staff) as needed.
    • Note-taking at meetings and events.
  • Other Support Services and Operational Responsibilities (10%):
    • Serve as Co-Building Liaison and mange surplus property.
    • Ordering supplies and other items as needed within the unit.
    • Managing leased equipment to support office functions.
    • Serve in a reception capacity to the IR-4 office suites.
    • Manage mail room duties.
    • Liaise with the building manager, and associated units on NC State, to assist with visitor and new employee parking and access privileges.
    • Other duties as assigned.
Other Responsibilities Special projects and additional duties as assigned. The position must be able to travel to attend IR-4 National Meetings as required.
Minimum Experience/Education High School Diploma or equivalency and one year of experience in accounting work; or equivalent combination of training and experience.

  • Must be able to juggle multiple priorities and projects, and meet deadlines.
  • Must be capable of doing all the described activities independently.
Preferred Qualifications
  • Bachelor’s degree in Business Administration, Public Administration or a related degree, with 3-5 years of related experience OR Master’s degree in Business Administration, Public Administration or a related degree with 1-2 years of related experience.
  • Knowledge of NC State business operations systems and practices.
  • Familiarity of and experience with agriculture, preferably experience with specialty crops.
  • Have a wide degree of creativity and strong knowledge and understanding of current trends in digital media/social media.
